Position Summary:

We are seeking a highly organized and detail-oriented Administrative Officer to support the daily administrative and office operations of our growing construction company. The successful candidate will play a key role in coordinating office activities, maintaining records, supporting project teams, and ensuring compliance with administrative policies and industry regulations. This role requires strong communication skills, the ability to work in a fast-paced environment, and familiarity with construction documentation and processes.

Key Responsibilities:
  • Oversee general office administration, including filing systems, record keeping, and office supplies management
  • Prepare and manage correspondence, reports, meeting minutes, and documentation related to construction projects
  • Maintain accurate databases of contractors, suppliers, permits, and project files
  • Support project managers with procurement documentation, budgeting assistance, and subcontractor coordination
  • Assist with the preparation and submission of permits, licenses, and compliance forms to municipal and provincial authorities
  • Coordinate internal and external communications, including responding to client inquiries and scheduling meetings
  • Monitor and track invoices, purchase orders, expense reports, and vendor payments
  • Support HR-related functions such as scheduling interviews, onboarding new staff, and maintaining employee files
  • Ensure compliance with safety documentation, training records, and WorkSafe Saskatchewan requirements
  • Liaise with clients, suppliers, and subcontractors in a professional and courteous manner
  • Assist in organizing site inspections, job site documentation, and contractor performance evaluations
Qualifications:
  1. Diploma or Degree in Business Administration, Office Management, or a related field
  2. 2+ years of experience in an administrative role; experience in construction or related industries is an asset
  3. Proficiency in Microsoft Office Suite (Word, Excel, Outlook); knowledge of project management or construction software is a plus
  4. Strong organizational and time management skills with a focus on accuracy and attention to detail
  5. Excellent written and verbal communication skills
  6. Knowledge of municipal permit processes and basic understanding of construction terminology preferred
  7. Ability to handle confidential information with integrity
  8. Familiarity with occupational health and safety documentation is an asset
Working Conditions:
  • Primarily office-based with occasional visits to construction sites
  • Standard business hours (Monday to Friday), with flexibility during peak project phases
